Payment of holding deposit

The holding deposit to secure the property will be the equivalent of one weeks rent. For example, if the rent is £600 per calendar month the holding fee will be £138.

The holding deposit can be held for 15 days whilst the reference is being processed, the deposit will be non-returnable if the following grounds apply:

  • If a tenant pulls out of the tenancy before the contracts are signed.
  • If a tenant fails a Right to Rent check.
  • If a tenant does not commit to the tenancy within 15 days.

Once the tenancy has been agreed the tenant can decide whether they would like their holding deposit held against their deposit or rent payment or be returned to them.



Permited Fees

Variation to the contract requested by a tenant £50.00 including VAT
The cost of replacing standard door key £10 including VAT
The cost of replacing specialist door key £20 including VAT
The cost of replacing key fob £50 including VAT plus Agent’s time - £15 per including VAT
Interest on rent arrears over 14 days will be charged at 3% above the bank of England’s annual percentage rate for each day it is outstanding.
Early surrender fee – subject to the length of the outstanding contract (fee will not be more than the total rent outstanding).


Referencing

Each adult will need to complete a reference form. This should be submitted within 3 working days after the holding deposit has been paid. If not, the landlord may re-advertise the property. We will require the following documentation:

  • Written reference (email accepted) from an employer.
  • Written reference (email accepted) from a previous letting agent / landlord.
  • Copy of current tenancy agreement if applicable.

Identification

Abacus Letting Services will require two forms of identification for each adult who will be resident at the property (one with a photo), along with an email address and a utility bill with a current address. We cannot accept mobile phone bills. Guarantors will also be required to produce the same identification.

Reference Results

Once the decision is received, you will be notified of one of the following within 15 days:

You have been accepted:

You will be notified that you have been accepted and will be asked to confirm your tenancy start date. Abacus Letting Services will then draw up the tenancy agreements.

Guarantor is required:

You will need to provide the details of your guarantor, who must then complete a reference form within 3 working days. If not, the landlord may re-advertise the property.

You have not been accepted:

Regrettably, this will mean we cannot continue with the tenancy as the references have failed. You can contact the referencing company for an explanation should you be concerned about the decision.

Signing Tenancy Agreements and paying the deposit:

Once the landlord has agreed to the tenancy, you will be invited to sign the tenancy agreements. All adults who have been referenced, including a guarantor (if applicable), will need to sign the tenancy agreement.

You will then need to pay the security deposit by bank transfer, the deposit will be the equivalent to 5 weeks rent. For example, if the rent is £600 the deposit will be £692.



Moving in

Prior to the commencement of your tenancy, you will be asked to make a payment for your rent and those funds must be cleared prior to your moving in date. Abacus Letting Services will check you into the property on your start date.

You will receive keys, inventory / condition report (if applicable) gas certificate (if applicable), EICR report, EPC, tenancy agreement and tenancy deposit certificate. You will be given a standing order mandate for future rental payments.



Payments

Payments for holding deposit, deposit and first months rent will be accepted by Bank Transfer.
All future rents will be payable by standing order.
